Driving in quotes: how to get paid for the transport

The drive to and from the job is working time you rarely get back if it is not in the quote. Here is how to price driving so it is there from the start - not something you swallow yourself.

An hour in the van is an hour you do not invoice. Drive 40 minutes each way on a small job and half a working day a week easily disappears if the driving is not counted. The customer will happily pay for it - if it is clearly stated in the quote.

What driving actually costs you

  • The time on the road, there and back, times your hourly rate or a fixed driving fee
  • Kilometres in the car or van - fuel, wear and insurance
  • Extra trips mid-job, for example to fetch missing materials
  • Tolls, ferries or parking on jobs far from home

How to put driving in the quote

Decide whether you charge driving as a fixed fee per job, per kilometre or as hours - and stick to the same model so the customer can follow it. The main thing is that it is a visible line, not something hidden inside the materials.

How Calco does it

Calco calculates the driving from the actual distance between your company and the job address - there and back - and adds it as its own line. If you have a free radius, only the kilometres outside it count. So the transport is included every time, without you having to remember it.

Frequently asked questions

Should I charge driving as hours or kilometres?
Both work - choose the model your customers understand best, and be consistent. What matters is that driving is a visible line so it is not eaten by the margin.
Does Calco calculate the driving automatically?
Yes. Calco uses the actual distance between your company and the job address, round trip, and adds driving as a line. If you have set a free radius, only the stretch beyond it is counted.
Can I give driving for free on nearby jobs?
Yes. You can set a radius where driving is included, so only jobs further away get a driving line.
