Do you know when the customer opens your quote?
The hardest part of a quote is not writing it - it is the silence afterwards. With lead status you see when the customer looks, and when to call.
You send a quote and hear nothing. Is it too expensive? Did they pick someone else? Or is it simply sitting unread in their inbox? Without an answer, following up becomes guesswork - and most people follow up too early, too late or not at all.
Timing decides the follow-up
A follow-up works best while the quote is fresh in the customer's mind. Call right after they have looked at it, and you talk about the content. Call a week too late, and the conversation starts from scratch. The problem was never the will to follow up - it was knowing when.
What lead status shows in Calco
Send the quote as a link from Calco and you can follow it all the way in the app:
- Sent - the quote has been sent to the customer's email
- Seen - the customer has opened the quote
- Accepted - the customer has said yes
If the enquiry came in through Calco Inbox, the status is tied to the enquiry, so you can see the whole journey in one place: from the customer's first email to an accepted quote.
A simple follow-up routine
- Seen but not accepted after 1-2 days: call and ask if they have questions
- Not seen after 3 days: send a short, friendly reminder - emails drown
- Accepted: confirm and book the job while the enthusiasm is there
Do just that and you are ahead of most. Not because your quotes are cheaper - but because the customer can tell there is a professional business at the other end.
Frequently asked questions
- Can the customer see that I can track this?
- The customer just sees a clean quote with an accept button. The status updates discreetly on your side when the quote is opened and accepted.
- Does it work if I send the quote as a PDF?
- PDF attachments cannot be tracked the same way. Send the quote as a link from Calco to get seen and accepted status - the customer can still download the PDF from the link.
